GUIDELINES FOR MENTORING SYSTEM

CMR Engineering College has established a well-structured student mentoring system as one of its best practices to support and empower students. The mentoring process is designed to encourage independent thinking, effective peer interaction, and the inculcation of ethical and moral values while providing moral support and guidance. Each faculty mentor is assigned a group of 20-25 students to ensure personalized attention and holistic development. Currently, 24 faculty members serve as mentors for students in their second, third, and fourth years across various departments. The allocation of mentors is based on student strength, ensuring that every student receives proper guidance and support throughout their academic journey. This structured mentoring approach enhances student engagement, fosters academic excellence, and prepares them for professional and personal success. 

Responsibilities of Mentors

  • Each mentor is assigned a group of students as designated by the Mentor Coordinator in consultation with the Head of the Department.
  • Mentors interact with their mentees weekly, following a predefined time slot in the timetable, and conduct additional sessions at the end of mid-term and university examinations.
  • One regular class hour is dedicated to mentoring, but students can also meet their mentors during regular college hours for additional guidance.
  • Due to faculty workload, mentoring sessions can be conducted during laboratory hours or SAC periods with prior approval from the lab faculty.
  • Mentors monitor student attendance regularly, counsel students with low attendance, and encourage participation in academic and extracurricular activities.
  • Student performance in curricular, co-curricular, and extra-curricular activities is reviewed periodically and recorded in proctor forms, which are also shared with parents.
  • If a student requires special attention, the mentor informs the class coordinator and ensures that necessary support is provided.
  • A proctor form is maintained for each student, documenting personal details, academic progress, past interactions, and participation in activities.
  • Mentors consistently track student progress, provide guidance, and support their overall academic and personal development.

  Students’ Responsibilities

  • Every student must maintain regular communication with their assigned mentor.
  • Students should inform their mentor about any issues faced in the class or college.
  • If a student needs to take leave, they must meet the mentor in advance and request approval. The mentor will discuss the request with the parents, and if the reason is valid, it will be forwarded to the Head of the Department.
  • Students should actively participate in mentoring sessions and seek guidance for academic and personal growth.
  • Students must keep their mentors informed about any academic challenges, career aspirations, or personal difficulties requiring support.
  • Students should take responsibility for improving their academic performance and attendance based on the mentor’s guidance and feedback.
  • Participation in co-curricular and extracurricular activities should be encouraged, and students should update their mentors on their involvement.
  • Students should respect the mentorship process and follow the advice given for their overall development and success.

 Parent-Teacher Meetings

  • Mentors regularly communicate with parents regarding student attendance, class performance, and examination results through Parent-Teacher Meetings (PTMs).
  • A dedicated **student login** is provided on the institution’s website, allowing parents to access attendance records, exam results, and other academic information.
  • Parents, along with students, are invited to attend PTMs at the college to discuss academic progress and address any concerns.
  • During PTMs, parents can directly interact with mentors to clarify doubts regarding their child’s academics and overall performance. Contact details of mentors are shared with parents for easy communication.
  • If a student is absent from classes, parents are encouraged to inform mentors in advance.
  • Parents can also contact mentors anytime to inquire about their child’s academic performance, attendance, and overall well-being.

 Roles and Responsibilities

Head of Department (HoD)

The HoD plays a crucial role in overseeing and guiding the mentoring system within the department.

  • The HoD instructs the Mentor Coordinator to manage and supervise all mentoring activities.
  • Regular meetings with the Mentor Coordinator and Class Coordinators are conducted to review the mentoring process and ensure its proper implementation.

Mentor Coordinator

The Mentor Coordinator acts as the central figure in organizing, monitoring, and evaluating the mentoring system.

  • Appointment of mentors and providing faculty members with best mentoring practices.
  • Coordination with the Class Coordinator for periodic assessment and communication regarding student progress.
  • Ensuring the effectiveness of the mentoring process by tracking faculty mentors’ performance and reporting to the HoD.

Class Coordinator

The Class Coordinator acts as a bridge between mentors and the administration.

  • Responsible for inducting mentors and ensuring their smooth functioning within the department.
  • Monitoring the mentor-mentee relationship and providing feedback for improvements.

Faculty Mentor

Faculty mentors are responsible for the direct guidance and development of students.

  • Providing students with study materials, reference books, and career guidance.
  • Helping mentees feel comfortable and supported, ensuring an open environment for sharing concerns.
  • Conducting regular meetings (at least once a week) with mentees, either in groups or individually, to address academic and personal issues.
  • Seeking support from higher authorities when needed, especially in critical situations.
  • Maintaining records of discussions and mentees’ progress to ensure continuous improvement.
  • Reporting to the Class Coordinator monthly, summarizing the mentoring activities and student progress.
